3.  WORKING OUT OF TOWN & SUBSISTENCE PAY

Every driver at Otto Trucking is expected to be able to work out of town when needed. When that time comes drivers will receive incentive pay & subsistence while working out of town on a job that requires them to spend the night away from home. The incentive pay rate is determined by how you receive your subsistence. Drivers will receive and additional $3.00 per hour while working out of town if they receive their subsistence on their paycheck. If drivers need to use the Skylight card issued to them and have their subsistence deposited onto it each day so they can get a room they will only get $1.00 per hour incentive pay. The subsistence rate for each night spent out of town varies job to job as locations and hotel pricing varies. The rate will often be posted on the schedule for that job. Where driver stay and if they share a room is ultimately up to them, they make their own reservations. Here are some other practices and tips for working out of town:

  • Book your room day to day and do not leave your things in the room while you work as you never know if you are coming back. Construction is unpredictable and sometimes jobs get shut down due to weather, mechanical issues, or material being out of spec. If a job cancels for the next day and the trucks come home you do not want to have to go get your belongings and pay for a room you are not staying in that night.
  • Its optional but many drivers share a room and pocket the extra subsistence money. Example: If your room is $122 with taxes & fees and you get $130 per night splitting that room with someone gives you an extra $69 per night to take home. Make friends and let dispatch know to to try to keep you and your friend/roommate on the same jobs so you can take advantage of this.
  • Pack for extra nights. Sometimes 2-3 day jobs become a week. It never hurts to be over-prepared. If you are driving somewhere far out of the Phoenix area pack an overnight bag even if you plan to come back home the same day. Sometimes trucks break down or things happen causing you to not have enough driving hours to get back home. 
  • When getting your subsistence advanced on the Skylight card you will see subsistence and deduction for it on your paycheck. Do not worry as this does not mean you didn’t get subsistence. It was deposited onto your skylight account so in order to not pay you subsistence twice by depositing into your skylight and again into your bank account it shows a deduction for it which cancels it out. The funds that were deposited onto your Netspend account daily remain, they do not get deducted from your Netspend account. 
  • While working out of town your paper timecards are not getting sent to the office each day. To help payroll not miss any it doesn’t hurt to email a good photo of one so it does not get missed in the pile that comes to the office after the weekend. payroll@ottotrucking.com

4.  DUMPTEK FOR PAYROLL

We are now using Dumptek for payroll. It is important that you submit a haul sheet for any work that you do and include notes for your non revenue time in the ticket notes section of your haul sheet. Non-revenue time is the time driver’s get paid for that does not get directly billed to the customer. This includes truck inspections, travel to the job or yard, cleaning out your trailer, truck break downs, or anything else a driver may do and gets paid for that isn’t billed to a customer. It is important you document this time on your ticket notes because the processors that review your time on your haul sheet have no idea what you did outside of hauling your loads unless you note it down. If you have high non-revenue hours with no explanation that time will not get approved and will be docked.

In addition to using Dumptek it is recommended that drivers submit a weekly timecard to payroll each week by email, payroll@ottotrucking.com . This does not have to be a company form but it needs to display the dates and hours you worked each day. It is essentially a summary of your hours so payroll can see what you have documented and compare what they have received & calculated.
